Position Title: Executive Administrative Assistant
Pay: $22.80+ / hr.
Schedule: Full time, M-F, 8am-5pm
Location: St. Cloud City Hall, 34769

Position is CONTRACT and staffed by reSOURCE Government Services working at City of St. Cloud, FL.
Must be able to pass criminal background check and drug testing

General Description
This position provides executive level administrative support to the Director in a variety of functions including scheduling meetings, coordinating assignments, and other administrative duties assigned in support of the Department's Mission.

Duties and Responsibilities
The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary.
  • Provides administrative and clerical support.
  • Participates in various department, City, and public projects and events.
  • Responds to inquiries from the public in person and by telephone.
  • Prepares memoranda, letters, departmental procedures, agendas, resolutions, ordinances and other documents as required.
  • Processes invoices and is responsible for departmental purchasing records and related documents; resolves disputes with vendors for merchandise or subscriptions.
  • Prepares travel registrations; prepares the necessary authorization and expense forms, retrieves signatures and submits for processing in accordance with travel policy and procedures; maintains departmental records.
  • Prepares payroll and personnel forms for workmen's compensation, accident reports, insurance, risk management, and other necessary related forms or payroll functions as required.
  • Performs related work as assigned.
Minimum Education and Experience Requirements
Minimum Education:
Requires High School graduation or GED equivalent supplemented by two (2) years of administrative, clerical or related experience; or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities. 
 
Must possess and maintain a valid state driver's license with an acceptable driving history.
 

Experience Requirements:
Experience processing and reviewing construction contractor pay applications, including verifying supporting documentation, previous payments, retainage, and current amounts due; Experience with construction contract bonds, including performance and payment bonds; reviewing bond documentation for completeness, maintaining bond records, and tracking bond requirements throughout the life of a contract.

Mathematics:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
 
Language Ability:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of organization.
 
Reasoning:
 
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
