Must possess a valid and active Driver's License*  General Description of Duties Under supervision, the purpose of the position is to provide routine clerical support to the assigned supervisor. Employees in this classification function at entry level and are accountable for the accuracy of both routine and non-routine clerical support duties performed as dictated by the nature of department. Position may be assigned to a large operating unit and perform a broad array of routine secretarial support functions, or assignment may be to a smaller specialized unit wherein incumbents perform specialized duties in supporting department objectives. Performs a variety of routine secretarial functions, e.g., data entry, typing, reports preparation and processing, documentation review; gathers, and prepares data as directed; provides information to supervisor. Generates various correspondence, articles, memos, agendas, orders, reports, forms, manuals, or other relevant materials appropriate to the assigned department. Files or retrieves from file materials and documents by the number, alphabet, or code; assists with record keeping duties and filing systems relevant materials appropriate to assigned unit. Receives inquiries and concerns by telephone and in person from employees, the general public and business community, ascertains the nature of the call, and resolving personally, directing it to the appropriate individual or department, or acting as liaison to the assigned supervisor. May serve as receptionist, greeting and answering inquiries from the general public and business community related to departmental operations, structure and procedures. Assists with specialized projects to support administrative processes of the department. Assists with the resolution of minor routine administrative and operational problems. May input data into software programs from forms, records, or files. May receive, sort and distribute incoming and outbound mail. May assist with departmental inventory functions. Maintain confidentiality of information in the performance of job duties. Experience:  At least one (1) year experience in clerical/secretarial support functions. Miscellaneous:  Possession and maintenance of a valid Florida Driver's License may be required. KNOWLEDGE, SKILLS, AND ABILITIES: Knowledge of modern office procedures and equipment; knowledge of clerical and secretarial support functions. Ability to coordinate schedules and meeting arrangements. Ability to understand, follow and supervise written and oral instructions. Ability to communicate effectively verbally and in writing. Ability to establish and maintain effective working relations with management, employees, other departments, officials and the general public; knowledge of the principles and techniques of customer service skills. Ability to use good judgment, discretion and confidentiality in the performance of duties. Knowledge of business English, e.g., correspondence formats, spelling, punctuation and grammar. Ability to perform routine mathematical computations and tabulations accurately and efficiently. Ability to type accurately. Ability to access, operate and maintain various software applications. Manages the day-to-day administrative and secretarial support activities of the medical department as well as coordinates and maintains the offsite medical utilization. Serves as a primary point of direct contact and liaison with other offices and departments, individuals and external organizations and agencies on a range of specified issues; organizes and facilitates meetings and meeting preparation as required. Provides direct staff support to the healthcare managers to include greeting and assisting visitors, handling telephone calls and inquiries, scheduling and maintaining calendar and appointments, screening, analyzing and preparing responses to incoming correspondence. Assists with establishing protocols, procedures, and guidelines for utilization management and review. Schedule, track and maintain offsite patient appointments. Provide reports of all offsite utilization. Review claims for processing. Participates in the Continuous Quality Improvement Program. Performs duties as assigned/necessary which are related, or logical in assignment to the position. MINIMUM QUALIFICATIONS: High School Diploma or GED; supplemented by four (4) years responsible experience in administrative/secretarial support functions; at least one (1) year hands on experience with Microsoft programs (Word/Excel); experience in a medical setting preferred. MISCELLANEOUS: Must have a valid Florida’s Driver’s License. KNOWLEDGE, SKILLS, AND ABILITIES: Working knowledge of record keeping practices. Must be able to work with people from all walks of life.
